Payment timelines vary by event size, but most rentals are paid in full prior to shipping or load-in. We accept: Credit card • ACH / bank transfer • Approved corporate payments

Final equipment quantities, headcount, add-ons, and shipping details must be confirmed by the deadline outlined in your agreement. Changes requested after this cutoff may not be guaranteed and may result in additional fees.
Clients are responsible for confirming venue access, power availability, space requirements, and any required permissions or approvals unless on-site support has been contracted. SILENCE Activations is not responsible for venue-related limitations, restrictions, or changes outside of our control.
Clients are responsible for returning all equipment in the same condition received, excluding normal wear and tear. Lost, unreturned, or excessively damaged items may be subject to replacement or repair fees as outlined in the rental agreement. Returned equipment must be shipped back the next business day following the event unless otherwise approved in writing.
Support is provided based on the package selected. DIY rentals include remote phone or text support during standard event hours, while staffed events include on-site technicians responsible for setup, operation, troubleshooting, and teardown.
Our equipment is designed for professional event use and is weather-resistant, but not weather-proof. For outdoor events, clients are responsible for providing appropriate weather contingency plans, including covered or indoor alternatives when necessary. In cases of severe weather or unsafe conditions, SILENCE Activations may recommend pausing or shutting down equipment for safety. Weather-related changes, refunds, or reschedules are governed by the terms of the signed agreement.
If a carrier location is closed or unavailable, clients must return equipment at the next available opportunity. Carrier delays do not waive return requirements and may result in late fees if equipment is not shipped within the required return window.
Certificates of Insurance (COIs) are available for certain events upon request and must be requested in advance. Availability may vary based on event type and support level.
To ensure a smooth event experience, SILENCE Activations requires the following prior to the event:
- Final headcount confirmation
- Venue address and on-site contact
- Load-in and event timing
- Power availability confirmation
- Designated on-site point of contact
For large or multi-city events, the silent headphone rental process stays the same.
